How Calm Business Academy collects, uses and protects your personal information.

1. Who we are

Calm Business Academy ("CBA", "we", "us") is a trading name of Small Business Support Solutions Ltd, a company registered in England and Wales (company number 12652871), registered office Unit 9 Mannings Yard, Exeter Road, Dawlish, England, EX7 0LX.

We are the data controller for the personal information described in this policy. We are registered with the Information Commissioner's Office (ICO) under registration number ZC261629.

2. What information we collect

  • Waitlist and email sign-ups: your first name, email address and business name.
  • Calm Advisor and the Business Clarity Assessment: the messages and answers you type into the chat, which may include information about your business.
  • Membership (when it opens): your name, email address and payment details. Card details are handled by our payment provider, Stripe, and we never see or store your full card number.
  • Emails you send us: your name, email address and anything you include in your message.
  • Email engagement: whether our emails are opened and which links are clicked, collected by our email provider.

Please do not enter sensitive personal information (such as health details) or other people's personal information into Calm Advisor.

We do not sell your personal information, and we do not use it for automated decisions that have legal or similarly significant effects on you.

4. Who we share it with

We use trusted service providers who process information on our behalf and only as we instruct:

  • Constant Contact: email marketing and the waitlist sign-up form.
  • Microsoft: runs Calm Advisor (Copilot Studio) and our email.
  • Stripe: payment processing, when membership opens.
  • IONOS: website hosting.

We may also share information where the law requires it.

5. International transfers

Some of these providers may process information outside the UK, including in the United States. Where this happens, we rely on appropriate safeguards recognised under UK data protection law, such as the UK International Data Transfer Addendum or the UK Extension to the EU–US Data Privacy Framework.

6. How long we keep it

  • Waitlist and email sign-ups: until you unsubscribe or ask us to delete your details.
  • Calm Advisor conversations: 12 months.
  • Membership and payment records: six years after membership ends, to meet tax and accounting rules.

7. Your rights

You have the right to:

  • access the personal information we hold about you;
  • have inaccurate information corrected;
  • have your information deleted;
  • restrict or object to how we use it;
  • receive your information in a portable format;
  • withdraw your consent at any time. Every email we send has an unsubscribe link.

To use any of these rights, email advice@sba7c.co.uk. We will respond within one month.

8. Cookies

Our own website pages do not set tracking or advertising cookies. The Calm Advisor chat (provided by Microsoft) and the sign-up form (provided by Constant Contact) may use cookies or similar technologies needed to make them work.

9. Keeping your information secure

We use reputable providers with appropriate security measures, and we limit access to your information to people who need it.

10. Complaints

If you are unhappy with how we have handled your information, please contact us first at advice@sba7c.co.uk. You also have the right to complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

11. Changes to this policy

We may update this policy from time to time. The latest version will always be on this page, with the date it was last updated.
